The role of the Transactional Support Coordinator is to handle large volumes of documents generated by each transaction and to arrange for the collation and distribution of originals, the approval of bible indices, the production and distribution of bibles, the uploading of bible documents onto internal share drives, and chasing for post-closing originals and KYC.  The work often requires post-closing maintenance of bibles and share drives and the location of precedents for future transactions.  

  • Handle large volume of documents generated by the practice
  • Arrange for the collation and distribution of original signatures and documents
  • Coordinate the approval of bible indices
  • Manage the production and distribution of bibles
  • Upload of bible documents onto internal share drives
  • Post-closing maintenance of bibles and share drives
  • Locate precedents for future transactions
  • Check original signature pages before engrossments
  • List applications, including liaising directly with the stock exchange as well as clients and guiding the relevant parties through the process
  • Transcribing, editing and amending legal and other documents including marketing presentations and materials 
  • Convert, compare, copy type and proofread the same as necessary, ensuring that documents comply with house style
  • Assist lawyers with the preparation of transaction bibles and volumes including scanning documents, indexing and liaising with the Print Room for the bibles to be produced in hard copy and/or CD/DVD format, and then dispatched
  • File of all clients and office related materials (both in electronic and paper format), arranging with Office Services for the archiving of closed physical files off-site and maintaining file lists of new, current and closed files
  • Plan, coordinate and set up of appointments and conference calls, internally and externally with clients and ensure that all appointments and conference calls are entered into lawyers' calendar
  • Minimum of 6 - 12 months experience in a law or finance-related industry
  • Previous experience in paralegal or other legal support role preferred but not essential
  • Chinese language skills essential
  • Ideally degree qualified or equivalent
  • Strong organisational skills and attention to detail required; commitment to meet deadlines
  • Previous experience in managing large volumes of documents preferred but not essential
