GENERAL SUMMARY:
Provide high-level administrative support to members of or Private Funds practice group.  This position requires attention to detail, excellent organizational, analytical skills and a strong customer-service orientation.  Successful candidates will be personable, responsive, proactive and support the business activities of the Private Funds group. 
 
KEY RESPONSIBILITIES:
  • Type, edit, proofread and finalize documents
  • Work closely with the Business Development & Marketing team; to understand the practice group's offerings, clients, and markets. Provide administrative support to the BD&M function of the practice group, as needed
  • Maintain associate assignment and transaction pipeline
  • Coordinate new matter openings and obtain conflict waivers
  • Coordinate weekly partner meetings, assist in organizing client events/seminars, travel arrangements, appointments, and conferences
  • Create and maintain files; manage departmental information
  • Prepare expense reports
  • Coordinate with the Finance team on billing matters
  • Enter attorney time into the Firm's billing system (Expert Time)
  • Maintain attorney contacts in the Firm's Client Relationship Management Software (InterAction)
  • Maintain attorney bios
  • Collaborate with resources inside and outside the Firm as appropriate to complete projects or tasks
  • Provide back-up coverage for other secretaries as needed
  • Perform other administrative functions and duties as assigned
  • Assist in fostering an environment of superior client service, collaboration, and teamwork
     
    REQUIREMENTS:
  • High School Diploma or GED required.  Bachelor's degree strongly preferred
  • Minimum 3 years of administrative or secretarial experience in a professional services firm
  • Superior client service skills
  • Proactive and positive approach
  • Commitment to quality and attention to detail
  • Excellent oral and written communications skills
  • Ability to work independently or as part of a team
  • Ability to adapt to changing priorities and work well under pressure
  • Ability to accurately type a minimum of 45-50 wpm
  • Proficiency in the use of MS Word, MS Excel, MS PowerPoint, and Outlook
  • Must be independently authorized to work in the United States
     
    PREFERENCES:
  • Business development experience a plus
