In order to reinforce our Administrative teams, we are looking to recruit an:



Experienced Legal Secretary

(Permanent Contract / full time or part time possible)



Your role

As a legal secretary, your day to day tasks will include:

General administration

o Take new initiatives to improve administrative processes of your department;

o   Monitor and manage email requests and calendar updates ;

o   Draft, edit, proofread, and finalize documents;

o   Support filing, printing, scanning and archiving of files.

Lawyer assistance

o   Monitor all Lawyer requests are treated in a timely and efficient manner and;

o   Propose new initiatives to improve Lawyer support when you identify a need;

o   Prepare Lawyers expense reports and assist with timesheets;

o   Organize and coordinate travel arrangements, appointments, conferences and meetings;

o   Assist for any ad-hoc requests.

Internal and external communication

o   Ensure telephone coverage for internal and external calls with the team;

o   Oversee drafting of internal emails (to be send on behalf of the Partners);

o   Pro-actively liaise with other departments in a professional manner to ensure smooth support to Lawyers.

Others activities

o   Initiate and take part in the "on the job" training of your junior colleagues;

o   Coordinate and participate in billing activities  : opening files, preparing invoices, tracking payments;

o   Ensure RCS recording and filling ;

o   Liaise and support other Business Professionals when needed (HR, Business Development, IT…).

Your profile

  • Bachelor's degree in administrative assistance or secretarial field
  • +5 years of experience in a similar position
  • Fluency in French and English
  • Excellent knowledge of Microsoft suite
  • Dynamic and pro-active attitude
  • Capacity to develop a trusted relationship with Lawyers and colleagues
  • Willing to train and guide junior members of the team
  • Ability to adapt to changing priorities and work well under pressure
  • Flexible and able to work as part of a team in a confidential manner
