Job Purpose

The German HR team is currently recruiting a bilingual German / English-speaking HR Assistant to undertake a variety of HR administrative duties. The HR Assistant will be based in Delhi office and will work as a part of the German HR team supporting all three German offices i.e. Frankfurt, Düsseldorf and Munich on all HR related topics.

Intermittent travel may be required to the German offices for training and transitions, post the firm's international travel restrictions are lifted.

Key Responsibilities:

New Joiner Process

Manages onboarding process in cooperation with the Recruiters, HR Business Partners and HR Advisors, which includes:

• Upon receipt of a signed contract issue the New Joiner Form
• Register the new joiner with the relevant German authorities and administration organizations (DPAE, medical cover, pension etc.)
• Hire the new employee on to Workday in line with the relevant headcount rules
• Visa application and moving process (where applicable)

Leaver Process

• On receipt of a resignation letter co-ordinate with the relevant HR Business Partner to produce a final settlement letter and relevant communications to other functions (Finance team etc.)
• Complete Workday steps for leavers and other leaving processes
• Coordinates the exit interview

Recruitment Support

• Upon receipt an Approval to Recruit Form and Job Description raise a job requisition on Workday
• Manages the job and candidate through Taleo in conjunction with the Recruiters
• In cooperation with the interviewers secretary (or with the interviewer themselves) arranges candidate interviews
• Liaise with reception in the relevant offices to ensure rooms are booked, video conferences are arranged, candidates know where to go
• Ensures jobs in Taleo are closed accurately and in a timely manner

Workday Maintenance

• Be the primary point of contact for all Workday updates with the HR Advisor.

HR Administration 

• Produces a first draft of employment contracts
• Owns the end to end production and issue of HR letters and certificates
• Supports the team with intranet updates, contract updates, letter template updates and other general administration

Experience required for the role

• Previous experience in an HR administrative role is required, ideally in a fast paced and demanding environment.
• Demonstrated ability to step up and assist with more complex and advisory tasks is desirable.
• Exceptional IT skills with particular expertise in Microsoft Word and Excel. Any experience in Workday and Taleo would be advantageous.
• Excellent attention to detail.
• Established ability to regularly prioritise to ensure the provision of an excellent service.
• Delivery focused.
• Demonstrated ability to work with a range of stakeholders.

Qualifications

• A bachelor's/master's degree from a reputed institute
• Degree or Certificate in German Language from an accredited institute
• 3+ years of experience at a multinational organisation, working at the shared services division of a global firm, handling global client and stakeholder interactions
